Prefillable Tags

Prefillable Tags VS Prefilled Tags

While most tags in Signority can be prefilled by the sender, they are typically assigned to specific recipients and may still be editable by those recipients (unless set to read-only).

Prefillable tags, however, are designed differently.

Prefillable tags are fields that the sender completes before sending a document for signing.

  • These tags are not assigned to any specific recipient

  • The values entered are visible to all recipients

  • The information cannot be modified by signers

This ensures that important data remains consistent and secure throughout the signing process.

In general, prefillable tags are better suited for when the information is shared/global, not something any one signer is responsible for.

Note: If the sender doesn’t have the information yet or doesn’t have time to fill it in before sending, a similar outcome can be achieved using Signing Order.
When signing order is enabled, the first recipient can enter the information, and it will then be visible to all subsequent recipients in the workflow.

However, unlike prefillable tags, this information is entered by a signer and is not locked, so it may be subject to change or input errors. To learn how to set up a Signing Order, see Adding A Signing Order for Your Recipients.

Types of Prefillable Tags

Prefillable Text Tag

  • Allows the sender to enter text values

  • Used for fields like names, addresses, company info, or contract details

Prefillable Number Tag

  • Allows the sender to enter numerical values

  • Ideal for financial or data-driven fields

Use Cases

Prefillable tags are especially useful when you're working with:

  1. Templates that are reused often where certain fields change each time but should remain controlled by the sender.

  2. Documents/Templates with multiple recipients where specific information must be visible and consistent for all recipients.

Example 1: Reusable Templates with Changing Fields

When you use the same template repeatedly, some details (like client name or project info) change each time—but you still want to control that information.

Example: Client Name in a Contract Template

Imagine you have a reusable contract template:

“This agreement is made between [Client Name] and ABC Company.”

Instead of leaving it blank for signers to fill in, or manually editing the document each time, you can insert a Prefillable Text tag in place of [Client Name] and just fill it out before sending the document.

Use Case 2: Documents with Multiple Recipients

When multiple people are signing the same document, certain fields (like amounts or contract details) must be identical and visible to everyone.

Example: Invoice Amount Shared Across Recipients

Suppose you send an invoice or agreement to a client, an internal approver, as well as a finance signer and the document includes:

“Total Amount Due: $______”

Instead of assigning this field to one signer (or multiple signers), you use a Prefillable Number tag to enter the amount (e.g., $2,500) before sending.

This insures all recipients see the same value, no recipient can change it, and there is no confusion or mismatched amounts between parties.
